Correcting a frozen protocol

Correction without cover-up: while both sides have not yet confirmed, a new version is created. Afterwards the protocol stays untouched and an addendum records the correction.

Step by step

  1. Not both confirmed yet? Change the faulty entry in the handover, a mistyped meter reading, say.The handover drops back to the working state
  2. Freeze a new protocol version and have both sides confirm it.The old version stays, confirmations included
  3. Once both have confirmed, the protocol is never touched again. Choose “Create addendum” on the handover page.A confirmed protocol stays as it was signed
  4. Enter the reason and, one per row, the entry: what the protocol says and what it should say.If something was left out entirely, leave “Previously in the protocol” empty
  5. Both parties sign the addendum, on the device or on the printout.Until then it is a proposal and can be discarded

The result: The correction is transparent: protocol and addendum both stay retrievable, each with its own checksum and its own confirmations, and it is visible what was corrected and why.

What if it does not work?

Both sides had already confirmed.
Then the route is an addendum. There is no silent change to a confirmed copy. Signed on paper, the protocol is a private deed; the electronic confirmation on the device is evidence, not a signature in the legal sense. In both cases one side does not change the content afterwards; corrections go through an addendum.
We would like to agree something in the addendum.
That is deliberately not possible. An addendum corrects recorded facts of the handover, meter readings, keys, items, condition, appointment. Agreements about essential contents of the purchase contract need notarial form and belong with your notary.
A second addendum cannot be created.
Only one addendum is ever open for confirmation. Confirm the open one or discard it, then the next is possible.
